Privacy policy
We hold what an order needs and nothing we cannot justify. This page names every outside company that touches your details, because a list of categories tells you nothing.
What stays in your browser
The cart — your event date and headcount, the package you started from, the items and the quantities — lives in your browser’s local storageon this device. It stays there between visits until you order or empty it, it does not follow you to another device, and clearing your browser’s site data removes it. Prices are never stored with it; they are looked up afresh each time you open the cart.
As you move between pages, the details of your event and anything you have typed are held in the browser’s session storage, which travels no further than the tab and disappears when you close it.
One exception, so it is not a surprise: the logo you attach is uploaded to our server as soon as you attach it, so the artwork is already with us if you go on to order. If you never do, it is deleted with the rest of an unconverted enquiry (see below).
What reaches us, and when
Only what you give us, through this site or by email:
- Your brief— what you type or paste into the box on our homepage, with your event date. It passes through our server once, to work out your headcount and event type and build your proposal; we keep it only as part of a proposal you ask us to email, or an order.
- A proposal you ask us to email— see the next section.
- A message you leave uson the contact page — your email address and what you wrote.
- Your artwork— the logo file you attach, with its filename, type and size.
- Your order— what you ordered, at what price, the size breakdown, your contact details, the delivery address you give us, and a phone number.
- Ordinary server logs— the requests our server handles, kept briefly for security and debugging.
“Email me this proposal”
If you ask us to email you a proposal, we store your email address and the proposal link — which carries your event details and the items you chose, so it reopens exactly as you left it — together with anything you typed in the box on our homepage. We use them to send you the proposal, and to write to you once more to follow it up.
That is all. It does not put you on a mailing list, and we will not write again unless you reply or order. If it never becomes an order, the record is deleted within 12 months like any other enquiry.
Cookies
This site sets no advertising or analytics cookies, because it runs no advertising and no analytics. There is no tracking pixel here, and nothing on this site is used to follow you around another one. Stripe sets its own cookies on its own checkout page, where they are needed to process a payment safely.
What we use it for
- Preparing your proposal, and pricing it.
- Sending you a proposal you asked us to email, and one follow-up.
- Making your designs, producing your goods, and delivering them.
- Writing to you about your order — confirmation, design, approval, dispatch. These are not marketing and you cannot unsubscribe from them while an order is live.
- Answering you when you ask us something, and keeping our own accounting records.
We do not send marketing email unless you ask for it, and there is an unsubscribe link in any that we do send. We do not sell, rent or trade anybody’s details, and we never will — there is no version of this business where that is a good idea.
Who else processes it
Running an outfitting service on one machine is not possible, so a small number of companies handle parts of your information on our instructions:
- Stripe— payment, the phone number collected on its checkout page, and the delivery address we pass to it with the payment.
- Resend— delivery of the emails we send you: proposals you ask for, order confirmations and design proofs.
- Google Cloud— the server this site runs on, where enquiries, order records and artwork are stored.
- OpenAI— the text you type or paste into the box on our homepage is read once, to work out your headcount and event type and to recommend a package. Only that text and the event details read from it are sent, and nothing is used to train anything.
- Google (Gemini)— where the site shows a quick draft of your logo on a product photograph, your logo is sent to Gemini to make it.
- Our suppliers and carriers— the artwork, quantities, sizes and delivery address needed to make and deliver your order, and no more.
Each receives only the part it needs. None of them is permitted to use your details for anything but the job we sent them.
Where it goes, and how long we keep it
We sell internationally and produce through partners abroad, so an order necessarily crosses borders — at minimum between you, us, the maker and the carrier.
An enquiry, an emailed proposal, a message or an uploaded logo that never becomes an order is deleted within 12 months. Order records, and the artwork we produced against them, we keep for 7 years: that is what tax and accounting rules require, and it is also what lets you reorder the same goods in the same colours three seasons later without sending us the files again.
Your rights
Wherever you are, we will honour these. Email orders@golfeventgear.com and we will answer within 30 days, usually far sooner.
- Ask what we hold about you, and get a copy.
- Have a mistake corrected.
- Have it deleted, once there is no live order and no record we are legally obliged to keep.
- Tell us to stop sending you anything that is not about an order.
- Object to what we are doing with it, and have a person — not a rule — look at it.
If you are in California: we do not sell or share personal information as those words are defined there, and we will not treat you differently for exercising any of the above.
Security, and children
The site is served over HTTPS. Artwork and order records sit on a server we control, not in a public bucket, and are reachable only by us. No system is perfect; if something ever does go wrong we will tell the people affected rather than hope nobody notices.
This is a service for tournament organisers and businesses. It is not intended for children, and we do not knowingly collect anything from them.
Changes, and asking us about any of this
When this policy changes we update the date at the top of the page. If a change is significant and you have an order with us, we will email you about it rather than leaving you to notice.
